About the role

The Administrative Officer is a valued member of the Calvary Mater Newcastle Clinical Information Department team.  These positions provide efficient and effective medical record administrative services to the Hospital to support patient care, management and daily operations.  Staff are expected to complete their work accurately and within required timeframes whilst maintaining patient privacy and confidentiality of all information.  Core roles include retrieval of records for ED Attendances, Outpatient Clinics and Admitted Patients, Reception duties, assembly of records for discharged patients, tracking of medical records, and routine filing and culling of records. The Administrative Officer is required to follow predefined procedures for their work, to work in harmony with staff at all levels, and to seek assistance when required.

Key Responsibilities

  • Accurate and timely data entry into the iPM Patient Administration System ensuring timely tracking of medical records and volumes management.
  • Maintain complete medical records throughout the episode of care.
  • Split large medical records as per required procedures.
  • Demonstrate an understanding of risk management processes and systems and adhere to these.
  • Effective team work and ability to function within a multidisciplinary team while maintaining harmonious relations with hospital staff in a respectful and non–confrontational way.

The Calvary Mater Newcastle is an Affiliated Health Organisation providing services to both public and private patients primarily from the Hunter New England area. Current employees of NSW Health can request to have various leave entitlement balances transferred to Calvary Mater Newcastle on commencement.
