About the role

This is a pivotal role in Health Information Services responsible for ensuring the delivery of quality front line and administrative support services by the Patient Services Department for the key areas of responsibility. These include Emergency Reception, Urgent Admissions, Elective Booking Office, Information Desk, Activity Reporting, Cashier and Switchboard.  Staff management is an important part of the role with a large team of administrative officers reporting to this position. The staff roster which this position directly manages is 24 hours x 7 days per week and requires a lot of direct manager input to maintain. Some after hours on call assistance would be required.

The Patient Services Department Manager must be proficient and supportive of the intricacies of the patient administration systems, medical record requirements, data and reporting, other systems in use and all procedures. The position may be required to back up staff at the operational level should this be required.  This is a very hands on role. This position must provide appropriate leadership for the department in consultation with, and under the direction of, the Manager Health Information Services & ICT, and must promote excellence in customer service at all times.  Excellent teamwork is required and appropriate communication lines are essential.

Key Responsibilities

  • Manage staff rosters and leave requirements ensuring best use of available resources and budget, as well as adherence to local procedures.
  • Manage stationery and equipment purchasing and use within a finite budget.
  • Maintain accurate and complete staff personnel files and secure these at all times.
  • Maintain currency of staff performance appraisals and ensure Essential Inservices are completed.
  • Actively participate in the hospital Disaster Committee as a fully functioning member, and involved in emergency and downtime procedures.

What you bring 

  • Advanced patient administration systems knowledge and skills for patient registration, emergency attendances, urgent and planned admissions, waiting list, bed management and activity reporting.
  • Knowledge of inpatient election processes, billing requirements and health privacy procedures.
  • Demonstrated computer literacy, including Microsoft Office, Excel, Outlook Email and Calendar.
  • Excellent communication skills and the ability to interact appropriately with staff at all levels.
  • Medical terminology skills and knowledge of patient administration workflows and associated systems.
  • A desire to join a team committed to the care of others in a mission based organisation
