About the role

The Program Coordinator will support the National Program Team delivering an upgraded SaaS Enterprise Resource Planning System including an innovative new Procedure Management Module.  This fast paced and interesting role combines ICT and Healthcare to realise benefits for our patients and Calvary Team in the rewarding NFP space.

Working in a trusting and supportive environment, you will be coached and encouraged to embrace opportunities to demonstrate and build on existing skills and experience.  You will be exposed to many diverse and exciting facets of Program Delivery including Program Governance, Organisational Change Management (OCM), Testing and Training. You’ll enjoy engaging with a diverse group of people across our business to solve problems and realise opportunities for improvement.

 

Key Responsibilities

  • Coordinate project management activities, resources and information.
  • Monitor and report on project progress with an ability to recognise barriers and recommend ways to work through them
  • Support the Program Manager and Change Analyst with OCM activities as required, including but not limited to coordinating the development of training materials and delivery of training and the development of Test Plans and User Acceptance Testing
  • Work with SMEs to map process flows and develop best practice processes
  • Manage assigned tasks with project teams and assist with schedule management
  • Assist Stream Leads with individual projects to ensure delivery within approved budgets and timeframes
  • Proactively maintain a current awareness of the project activities and status
  • Assist in compiling various monthly reporting at project level to monitor progress, ensure accuracy of expenditure and achievement of key milestones
  • Assist in the development of the Phase 2 Business Case and Project Planning.

 

What you bring 

  • Good communication skills across multiple mediums and must have a natural curiosity and the confidence to ask questions
  • Great time management, organisational skills, and personal drive and accountability
  • Attention to detail combined with the ability to understand the bigger picture, to help keep stakeholders on track and accountable. 
  • Proven experience as a Program Coordinator or similar role preferably in the ICT health care, aged care sectors
  • Strong problem-solving skills as well as advanced communication skills and the ability to build positive relationships
  • Experience in project management, from conception to delivery, with exposure to Agile ways of working and methods
  • An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
  • Ability to work with vendors and internal stakeholders on required processes and governance activities
  • Familiarity with risk management and quality assurance control
  • Strong working knowledge of Microsoft suite of programs, including Excel and PowerPoint
  • A desire to join a team committed to the care of others in a mission based organisation
