THE ROLE:

The Senior Administration Officer is responsible for providing effective administrative assistance and operational support to the Department of Palliative Care, working collaboratively within the administration team. Utilising well developed administrative assistance and operational support to the department of Palliative Care, working collaboratively within the administrative team. Utilising well developed administrative and organisational skills, with ongoing training and support, the administration officer will participate in activities across the inpatient and community operations of the department.

Within the Department of Palliative Care, you will have regular contact with medical staff, nursing staff, allied health and other staff, and patients and their families. This position covers a wide range of day to day administrative duties and challenges associated with working in a health care setting.

DUTIES:

  • Provide comprehensive administrative assistance, including but not limited to; telephone calls, taking accurate messages, collecting and distributing mail, preparing correspondence and documentation, filing, arranging meetings, agendas, and minutes when required;
  • Scheduling and rescheduling of patient appointments and preparation and distribution of patient referrals, relevant medical documentation, and records;
  • Monitoring of patient waiting lists, including audit of waiting lists and specialty clinics;
  • Overseeing and planning of specialty clinics;
  • Provide relief for other administrative staff as required, and perform other duties appropriate at the level of responsibilities, whilst adhering to Department requirements and work expectations;
  • Computer literacy including use of patient management systems, Microsoft Office suite, working knowledge of calendar management systems, email and internet; and
  • Demonstrated flexibility that meets the changing needs of the Department and the work environment.

ABOUT YOU:

  • Demonstrated experience in the delivery of administrative support to a clinical service and competency with MS Office, particularly the use of excel spreadsheets;
  • Proven ability to use initiative while exercising discretion and confidentiality;
  • Proven ability to work with limited supervision, meet competing deadlines and work proficiently in periods of high demand within a health care office environment;
  • Demonstrated effective communication, organisational and interpersonal skills including customer-focused telephone technique.
  • Demonstrated ability to work effectively as a member of a multidisciplinary team, including a willingness to be flexible to meet the needs of the work environment;
