THE ROLE:
The Personal Assistant is responsible for providing efficient and professional administration support to the Emergency Medicine team; including payroll support, diary and leave management, meeting minutes and agenda preparation, maintaining staff files, updating spreadsheets, maintaining quality of information and systems, and any other administration tasks to ensure the service delivery needs of the department are met.
DUTIES:
- Act as a point of contact for Emergency Medicine team, including the Director of Emergency Medicine (ED Director) and Emergency Medicine Staff Specialists (FACEMS).
- Undertake administration responsibilities for ED Director and FACEMs in a professional and competent manner. Includes coordinating meetings and maintaining the diaries.
- Attends to payroll functions, including managing leave forms to strict deadlines, Training, Education and Study Leave (TESL) for Staff Specialists and rostering for FACEMs.
- Maintains staff records including but not limited to: In-Services, Mandatory Training, Performance Development Reviews, Licensing, Contracts, Presentation and Rosters; for Medical officers.
- Prepares emails, correspondence and documentation to a high standard including electronic file management, managing multiple calendars, arrange meetings, agendas and minutes timely and professionally.
- Excellent computer literacy including Microsoft Office suite, working knowledge of calendar management systems, payroll, file management systems and email;
- Receiving, screening and management of incoming calls and communication including IMS+ complaint recording on behalf of the ED Director.
- Initiate recruitment, variations and cessation activities on behalf of the ED Director.
- Support the CMN JMO unit with the ED medical workforce, including information required for medical rostering, coordination of supervision and training. Support the JMO Manager and the ED Director and ED Network Manager for term allocations.
- Coordinate and prepare correspondence, using initiative and judgement to ensure efficient and appropriate handling of documents. This will include complaints, documents for accreditation, HETI and ACEM requirements.

ABOUT YOU:
- Demonstrated experience in the provision of administrative support services, including the ability to take minutes and format complex business documents;
- Ability to work unsupervised and demonstrate self-directed work practices to meet strict deadlines;
- Ability to work flexibly, organise and prioritise a diverse workload, work proficiently in periods of high demand and activity and execute duties with attention to detail;
- Demonstrates effective communication and interpersonal skills to work cooperatively in a team;
- Demonstrates high computer literacy, including proficient keyboard skills and superior competency in MS-Office (Word and Excel), email and electronic file management;
- Demonstrates the ability to maintain and implement quality improvements to administrative processes;
- Demonstrates the ability to effectively problem-solve, show initiative and execute sound judgement and ensure confidentiality and appropriate levels of discretion are maintained at all times;
